We are seeking a dynamic and highly organized Receptionist/Administrative Assistant to join our team! Duties
- Greet visitors and clients warmly, providing professional and friendly customer service at the front desk
- Manage multi\-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries promptly and efficiently
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
- Perform data entry, proofread documents, and support clerical tasks such as copying, scanning, and faxing
- Schedule appointments, manage calendars, and coordinate meetings for staff or executives
- Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoice processing and expense tracking
- Insurance eligibility checks and prior authorizations submissions
- Provide administrative support to various departments as needed, including personal assistant duties or project assistance
- Proven experience in office administration or clerical roles within a professional setting
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Previous experience handling multi\-line phone systems and providing exceptional customer service or customer support
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Knowledge of QuickBooks or bookkeeping software is a plus for handling basic financial tasks
- Experience in medical or dental reception is advantageous but not required; relevant healthcare reception experience will be considered
- Demonstrated attention to detail with proofreading skills to ensure accuracy in all communications
