About the Administrative Assistant Role

In this professional\-level role, you will operate as a trusted partner to Associates and Partners, proactively managing priorities, supporting client interactions, and ensuring seamless execution in a fast\-paced, high\-performance environment. Your responsibilities will go beyond traditional administrative tasks, offering you the opportunity to take on project work that may be technical or analytical in nature. As an Administrative Assistant, you’ll have the opportunity for growth potential within a fast\-paced environment where you will have the chance to engage in varied responsibilities, work both independently and as part of a team, and increase your exposure to high\-level business operations.
This role requires a high\-level of responsiveness, ownership, and the ability to operate independently while managing multiple competing priorities with tight timelines.
This is a full\-time (40 hours/week) hybrid role, offering flexibility with a blend of in\-office and remote work. You’ll spend three days a week on\-site and work remotely for two days each week. Standard working hours are 8:30am to 5pm, with a 30\-minute lunch break.
What You’ll Do
- Own and proactively manage complex calendars for multiple Associates and Partners, anticipating conflicts, prioritizing effectively, and making real\-time adjustments to optimize time and responsiveness.
- Manage and maintain calendars, schedule meetings, and coordinate events while anticipating conflicts and adjusting as needed.
- Serve as a professional point of contact for internal and external stakeholders, including client executives, communicating clearly, confidently, and with discretion.
- Handle highly confidential client interactions with the utmost discretion, ensuring the privacy and integrity of sensitive information.
- Operate with urgency in a fast\-paced environment, balancing multiple high\-priority requests while ensuring all work is completed accurately and on time.
- Multitask and solve problems efficiently while balancing conflicting priorities in a fast\-paced environment.
- Support the office by ordering supplies, distributing mail, and managing filing systems.
- Enter and maintain accurate data in CRM (MS Dynamics) and Workday (time sheets and expense reports)
- Support the end\-to\-end client invoicing process, ensuring accuracy, timeliness, and alignment with firm/client billing standards
- Manage document organization and sharing through iManage and SharePoint
- Manage the client invoice process for assigned Partners and Associates, including preparing detailed invoice descriptions, tracking fees paid to date/outstanding, and ensuring timely and accurate final invoice processing and submission.
- Prepare documents in Word and create client meeting materials with precision as well as assist with PowerPoint presentations for executive\-level committee meetings.
- Support general administrative tasks, project work, basic data analysis, and conduct research as required.
- Provide support on other tasks and projects as needed.
- Demonstrated experience in providing executive\-level administrative support, including calendar management, travel arrangements, and document preparation.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) with the ability to create polished, professional documents and presentations.
- Strong attention to detail and ability to handle sensitive and confidential information with discretion.
- Communicate effectively both in writing and verbally to facilitate smooth interactions with colleagues, clients, and executives.
- Organize efficiently by multitasking, prioritizing tasks, and managing competing deadlines with minimal supervision.
- Solve problems proactively by thinking critically and troubleshooting challenges as they arise.
- Build strong relationships with team members and clients to foster collaboration and teamwork.

- A minimum of 4\-6 years of experience working in a corporate setting, providing administrative support to senior management is required
- A proven track record of managing confidential information and providing executive\-level support
- An undergraduate degree is preferred, but equivalent years of experience will be considered
- Experience with project work (technical or analytical) is preferred
- Familiarity with CRM (e.g., MS Dynamics), Workday for timesheets and expense reporting, and iManage and SharePoint for document management is preferred
- Ability to unilaterally and bilaterally lift, push, and pull 0\-10 pounds frequently and 11\-20 pounds occasionally
