Reports to: Clinical Professional Development Manager

Purpose

The Clinical Operations Assistant provides dedicated administrative support to the Clinical Patient Engagement team, with a strong focus on supporting clinical workflows, documentation, and quality review processes. This role is responsible for coordinating administrative activities, managing schedules and communications, and supporting clinical excellence initiatives. The position requires strong organizational skills, attention to detail, and proficiency with Microsoft\-based technology platforms.

Responsibilities

Administrative Support

  • Provide comprehensive administrative support to Clinical Patient Engagement leadership and team members.
  • Coordinate and schedule team meetings, trainings, and recurring review sessions using Outlook and Microsoft Teams.
  • Track staffing updates to determine training needs
  • Prepare, format, and maintain documents, reports, and presentations using Microsoft Word, Excel, and PowerPoint.
  • Track action items, maintain shared files, and support documentation workflows for clinical and operational initiatives.
  • Handle confidential and sensitive information in accordance with company policies and HIPAA requirements.
  • Clinical Call Quality Support

  • Locate, retrieve, download, and organize recorded pharmacist–patient clinical calls from internal systems to support clinical call quality reviews.
  • Maintain accurate logs and tracking files for recorded calls, reviews completed, and follow\-up needs.
  • Coordinate with clinical leadership to ensure call recordings are available and prepared for scheduled quality review sessions.
  • Support continuous quality improvement efforts by ensuring timely and accurate administrative execution of call review processes.
  • Communication \& Coordination

  • Draft and distribute internal communications, meeting summaries, and follow\-up materials for the Clinical Patient Engagement team.
  • Support cross\-functional coordination with Clinical, Operations, IT, and Training teams as needed.
  • Assist with onboarding logistics and administrative needs for new team members within Clinical Patient Engagement.
  • General Project Support

  • Assist with the organizing of special projects and process improvement initiatives related to the Clinical Patient Engagement team.
  • Provide backup administrative coverage and support other administrative staff as needed.
  • Support organization and maintenance of shared calendars, folders, and team resources.
  • Required Qualifications

  • High School diploma or equivalent.
  • Minimum of two (2\) years administrative assistant experience with a focus on customer service.
  • Proficiency in Microsoft Office/Outlook.
  • Excellent communication skills.
  • High attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Good organizational and multi\-tasking abilities.
  • Problem\-solving skills.
  • Proactive, self\-directed, and able to anticipate administrative needs.
  • Preferred Qualifications

  • Associate’s degree in related field.
  • Experience working with SharePoint
  • Experience supporting clinical, healthcare, or quality\-focused teams.
  • Familiarity with call recording systems, quality review processes, or clinical documentation workflows

Work Environment

This position operates in a professional office or home office environment. This role routinely uses standard office equipment such as computers, monitors, etc.

Physical Demands

While performing the duties of this job, the employee is regularly required to see, talk, or hear. The employee frequently is required to sit; stand; walk; use hands and fingers to handle or feel; and reach with hands and arms. Visual acuity is necessary for tasks such as reading, observing surroundings, or working with various forms of data.
