We’re hiring a reliable, organized, and proactive Administrative Assistant \& Client Support Specialist to support the day\-to\-day flow of a growing online health \& fitness coaching business for women 40\+.
This role is ideal for someone who thrives on structure, follows through on details, and genuinely cares about helping women step into a stronger, healthier, and more confident version of themselves.
You won’t just be completing tasks — you’ll be part of creating an experience where women feel supported, seen, and guided from their very first interaction with our business.
At the core of what we do is helping women become fit, strong, healthy, and confident at 40\+, and this role plays a key part in delivering that experience through every message, interaction, and behind\-the\-scenes touchpoint.
This is a hands\-on support role focused on execution, organization, scheduling, and maintaining structure across moving parts — while also supporting lead conversations and helping guide the right women toward booking their first step with us.
You’ll work closely with the founder, systems operator, and coaching team to support client experience, communication flow, scheduling, and overall business organization, ensuring everything runs smoothly and nothing falls through the cracks.
Compensation \& Structure
- Part\-time \| 1099 contractor
- Approximately 15–20 hours per week
- Flexible schedule, with required availability during CST business hours
- U.S.\-based candidates only
- Light weekend flexibility every other weekend (1–3 hours)
- Preferred (not required): Located near Panama City Beach, FL for occasional in\-person collaboration (typically up to once per month in a casual setting like a coffee shop)

- Handle day\-to\-day admin tasks to keep the business organized and moving
- Support task follow\-through and ensure nothing important gets missed
- Organize documents, folders, spreadsheets, and systems
- Maintain accurate and up\-to\-date records
- Manage scheduling for calls, appointments, and follow\-ups
- Maintain organized calendars and appointment flow
- Coordinate onboarding calls and internal scheduling needs
- Handle reschedules, reminders, and calendar updates
- Monitor client communications at structured check\-in times
- Respond to basic client needs in a supportive and professional way
- Communicate with coaches to ensure client needs are handled properly
- Flag higher\-level or sensitive issues for escalation
- Support onboarding logistics and ensure clients receive clear next steps
- Help create a smooth, welcoming, and professional client experience
- Engage with incoming leads in a warm, supportive, and timely manner
- Help guide qualified women toward booking a Power Plan Call
- Ask simple qualifying questions and keep conversations organized
- Follow up consistently to maintain connection and momentum
- Track lead status and ensure no strong opportunities are missed
- Support a clean and consistent follow\-up process so leads don’t fall through the cracks
- Accurately enter and update information in the CRM
- Maintain clean, organized client and lead records
- Support lead tracking, follow\-up organization, and system accuracy
- Ensure data is entered correctly to support team efficiency
- Schedule approved social media content
- Maintain organization of the content calendar
- Ensure posts are uploaded and scheduled correctly
- Support execution of pre\-approved content
- Assist with recurring weekly and monthly admin tasks
- Support small organization and clean\-up projects
- Help document simple processes when needed
- Take repetitive administrative work off the founder’s plate
- Assist with additional tasks and priorities as the business grows and evolves

- Administrative or executive assistant experience
- Virtual assistant or remote support work
