Reports To: President, General Manager and Controller

FLSA Status: Non\-Exempt

Summary: The Administrative Assistant provides comprehensive administrative support to company leadership and staff. This position is responsible for maintaining efficient office operations, ensuring organization of records and communications, and supporting project\-related documentation. The role requires a high level of professionalism, attention to detail, and the ability to manage multiple priorities.

Essential Duties and Responsibilities: The essential functions include, but are not limited to, the following:

  • Answer, screen, and direct incoming phone calls in a professional manner
  • Provide administrative support to the President, General Manager, and Supervisors
  • Greet and assist visitors, clients, and vendors
  • Maintain and organize physical and electronic filing systems
  • Retrieve and compile information from records, emails, and other documents; prepare summaries and reports as needed
  • Maintain office supply inventory and coordinate servicing of office equipment
  • Prepare panel schedules and other documentation for Project Managers
  • Prepare and distribute California Preliminary Notices to vendors and suppliers in a timely manner
  • Maintain employee training records and logs
  • Manage weekly safety meeting sign\-in sheets and documentation
  • Communicate information to employees on behalf of Supervisors, as directed
  • Perform general clerical and administrative tasks, including data entry and correspondence
  • Run occasional business\-related errands as needed
  • Perform other duties as assigned
  • Prolonged periods of sitting and working at a computer
  • Ability to occasionally lift and/or move up to 25 pounds
  • Education and Experience:

  • High school diploma or equivalent required
  • Associate or bachelor’s degree preferred
  • Minimum of FIVE years of administrative experience required
  • Demonstrated history of reliability and professional employment stability
  • Knowledge, Skills, and Abilities:

  • Strong organizational skills and attention to detail
  • Knowledge of standard office practices, procedures, and equipment
  • Excellent verbal and written communication skills
  • Strong interpersonal and customer service skills
  • Ability to manage multiple tasks and meet deadlines
  • Ability to work independently and exercise sound judgment
  • High level of professionalism, integrity, and discretion
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

    Pay: $28\.00 \- $32\.00 per hour

    Expected hours: 40\.0 per week
