#### POSITION SUMMARY
The GIS Data \& Operations Coordinator provides essential data management, project coordination, and operational support to the GIS Specialist and field operations team. This position is responsible for ensuring the accuracy, integrity, and readiness of project data for internal systems, reporting, and invoicing. Working under the direct supervision of the GIS Specialist, the Coordinator plays a critical role in supporting day\-to\-day project activities through data validation, scheduling, billing support, process improvement, and general operational assistance across active projects.
#### ESSENTIAL DUTIES AND RESPONSIBILITIES
Data Management \& Quality Assurance
- Review, validate, and manage project and fieldcollected data to ensure accuracy, completeness, and readiness for internal systems, reporting, and invoicing.
- Review project documentation and official forms to identify discrepancies or required corrections, and coordinate resolution with field personnel in a timely manner.
- Maintain organized digital data records and filing systems consistent with project standards and company data retention requirements.
- Assist in developing and maintaining Standard Operating Procedures (SOPs) for project data collection, validation, and review processes.
- Support billing operations by reviewing project transactions, entries, and supporting documentation to facilitate accurate and timely invoices.
- Identify and flag billing discrepancies or documentation gaps, coordinating with project and field staff to ensure resolution prior to invoice submission.
- Assist with tracking project financial data and ensuring all required documentation is complete and properly organized.
- Provide basic GIS and mapping support, including data preparation, attribute review, and map updates for active project needs.
- Assist the GIS Specialist with data formatting, file management, and spatial data organization to support project deliverables.
- Support testing, implementation, and improvement of GIS tools, software systems, and workflows used by field and office staff.
- Maintain and update project and management scheduling spreadsheets, tracking tools, and operational calendars as directed by the GIS Specialist.
- Support project planning and coordination activities through data preparation, scheduling input, and operational organization.
- Monitor project timelines and flag scheduling conflicts, milestone updates, or coordination needs to the GIS Specialist.
- Assist with the testing and implementation of software systems, internal tools, and workflow improvements that support field and office operations.
- Contribute to the development and continuous improvement of project data collection and review processes.
- Support the documentation of current workflows and identify opportunities for operational efficiency gains.
- Provide general operational, analytical, and administrative support across active projects as needed and as directed by the GIS Specialist.
- Respond to requests from project staff, field personnel, and management for data retrieval, documentation, or coordination support.
- Maintain confidentiality regarding sensitive project, client, and operational information.
- Other duties as assigned.
- Associate's degree in Geographic Information Systems, Business Administration, Information Technology, Environmental Science, or a related field required.
- Bachelor's degree in GIS, Geography, Environmental Studies, or a related field preferred.
- Equivalent combination of education and directly relevant work experience may be considered.
- Minimum 12 years of experience in data management, project coordination, GIS support, or operations support required.
- Experience with GIS platforms (ArcGIS, QGIS, or similar) strongly preferred; willingness to learn required.
- Experience with billing, invoicing review, or project financial tracking preferred.
- Background supporting field operations or environmental/infrastructure project environments a plus.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) required; advanced Excel skills (data sorting, filtering, pivot tables) strongly preferred.
- Familiarity with GIS software and spatial data concepts; ArcGIS or QGIS experience preferred.
- Experience with project management or scheduling tools is preferred.
- Ability to learn and adapt to new software platforms, data systems, and digital workflows.
- Comfort with data entry, data validation, and maintaining structured records and tracking systems.
- Strong attention to detail with demonstrated ability to identify data errors and discrepancies.
- Excellent organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- Clear written and verbal communication skills for coordinating with field and office personnel.
- Proactive, selfdirected work ethic with the ability to work effectively in a remote environment with minimal supervision.
- Analytical mindset with a commitment to process improvement and operational accuracy.

- Primarily sedentary work requires extended periods of sitting, computer use, and screenbased data review.
- Standard business hours Monday through Friday with flexibility to accommodate project deadlines and operational needs.
- Occasional virtual meetings and video conferences with project teams, field personnel, and management.
- Regular and consistent availability during scheduled work hours is essential.
- Employee must be willing to work overtime, as needed, and deploy during times of disaster when AIS is deployed to various disaster locations on an ad hoc basis
