Position Title: Staffing Assistant
Pay Rate: $19\.00
Position Purpose:
The Staffing Assistant supports the Staffing Department by assisting in the recruitment of more than 1,000 employees for the annual OC Fair. This position works closely with Staffing Coordinators to assist various departments with their staffing needs, ensuring deadlines are met efficiently while maintaining strong attention to detail.
Essential Functions:
- Respond timely and professionally to inquiries in person or by telephone, often in high volumes.
- Screen applicants by phone and in person, track qualified candidates, and coordinate interview schedules with candidates, staffing coordinators, and supervisors in a timely and organized manner
- Utilize the Human Resources Information System (HRIS) and Applicant Tracking System (ATS) to verify eligibility status of applicants and make adjustments to their hiring process accordingly
- Maintain accurate files (hard copies and electronic) in accordance with HR guidelines.
- Maintain consistent communication with candidates throughout the hiring process to provide updates, clarify requirements, and ensure a positive applicant experience
- Assist Staffing Coordinators in meeting departmental hiring needs, create and maintain requested rehire candidate lists, and prepare interview packets that include offer letters and lawful, job\-related interview questions.
- Collaborate with the Staffing team to refer candidates and refrain from contacting candidates that have already been contacted by someone else on the Staffing Team.
- Represent the organization at local and virtual job fairs by engaging with applicants and promoting the benefits of working at the OC Fair \& Event Center to attract quality candidates
- Schedule Zoom interviews and send calendar invitations to interview panel members to ensure accurate and timely interview coordination
- Supports compliance with federal, state, and local employment laws and regulations, and company policies
- Assist with general administrative duties in support with the Staffing and Onboarding team, including document preparation and data entry
- Must be at least 18 years of age or older.
- Office, clerical, and/or retail work experience.
- Excellent time management and organizational skills.
- Strong communication skills, orally and in writing with all levels of staff, the general public and the people we support.
- Ability to listen and take direction from Staffing Coordinator to work collaboratively.
- High computer literacy and comfort with computer software.
- Familiarity with laws, regulations, and best practices applicable to hiring and recruitment.
- Ability to work independently and reevaluate priorities to work on most pressing assignments first.
- Ability to work well in a fast\-paced environment with changing priorities.
- Ability to conduct work in a professional manner with high integrity.
- Available to work some evenings and weekends as necessary for interviews.
- Bilingual Spanish
- Experience with the Applicant Tracking System and Human Resources Information System
- BS/BA in Human Resources Management/Business Management or related field
Schedule:
April – early July: Full\-time hours \| Monday – Friday: 9:00 am – 5:30 pm
Fair Hiring Event: Saturday, May 30th (Tentative)
OC Fair (July 17 \- August 16\): Part\-time hours may be available \| Select days, Wednesday – Sunday; irregular business hours.
This schedule is subject to change due to business needs. You may be scheduled on weekends and late evenings occasionally. In addition, you may be scheduled for more or less hours than those listed above.
