About the Role

We are seeking a dependable and detail\-oriented In\-Office Administrative Assistant to support daily operations. This role is essential in maintaining organization, assisting clients, and allowing our agents to focus on advising and growing the business.

Important Requirements:

  • This is an
  • in\-office position; remote work is not available

    * Dependable transportation is a must

  • A
  • confidentiality agreement will be required due to the sensitive nature of client information, and violations may carry penalties under Virginia state law and applicable federal regulations, including the Gramm\-Leach\-Bliley Act (GLBA)

    * Extreme knowledge of Microsoft Word and related Office programs

  • Ability to perform
  • print\-merge mailings accurately

    Key Responsibilities

    Client Communication \& Support

  • Answer incoming calls and basic inquiries
  • Take messages and route communication appropriately
  • Schedule and confirm client appointments
  • Follow up with clients via phone, text, and email
  • Policy Servicing

  • Assist with policy changes (address, vehicles, drivers, etc.)
  • Provide ID cards and proof of insurance
  • Help clients with billing questions and payments
  • Quoting \& Sales Support

  • Gather client information for quotes
  • Enter data into quoting systems
  • Prepare applications and follow up on pending business
  • Renewals \& Retention

  • Track upcoming policy renewals
  • Send reminders and schedule review appointments
  • Assist in identifying cross\-sell opportunities
  • Administrative \& Data Management

  • Maintain accurate client records in CRM
  • Upload and organize documents
  • Assist with general office organization and tasks
  • Prepare personalized mailings with professional, legible handwriting
  • Perform mail merge tasks as required
  • Marketing Support

  • Send follow\-ups, review requests, and referral requests
  • Assist with basic client outreach
  • Support social media posting and scheduling
  • What We’re Looking For

  • Strong communication and people skills
  • High attention to detail and organization
  • Comfortable with computers, email, and data entry
  • Ability to multitask and stay organized
  • Dependable, positive attitude, and willingness to learn
  • * Extreme knowledge of Microsoft Word and associated programs

  • Ability to print\-merge mailings accurately
  • Preferred (but not required):

  • Insurance or financial services background
  • Professional, legible handwriting for personalized mailings
  • Social media posting and scheduling knowledge
  • Schedule \& Growth Opportunity

    * 11:00 am – 3:00 pm, approximately 12 hours per week

  • Flexible schedule within these hours (3 days/week preferred)
  • Consistent weekly schedule preferred
  • As the business grows, additional hours and performance\-based incentives may become available, but are not guaranteed at this time.
