Duties

  • Greet visitors, clients, and vendors with professionalism and enthusiasm, creating a welcoming atmosphere at the front desk
  • Manage multi\-line phone systems, directing calls accurately and courteously while practicing excellent phone etiquette
  • Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy in all communications
  • Utilize computer skills across Microsoft Office Suite, Google Workspace, and other office management software for scheduling, correspondence, and report creation
  • Support calendar management and appointment scheduling for staff members or executives, ensuring efficient time management
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support basic financial record\-keeping
  • Provide customer service support by responding promptly to inquiries, managing customer support requests, and maintaining positive relationships
  • Perform clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory to keep the workspace organized and functional
  • Support medical or dental reception duties if applicable, including patient check\-in procedures and medical record management
  • Experience

  • Proven office experience or administrative support background demonstrating strong organizational skills
  • Familiarity with multi\-line phone systems and excellent phone etiquette is essential
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer literacy required
  • Previous experience in customer service or customer support roles preferred
  • Clerical experience involving data entry, filing, proofreading, or bookkeeping is advantageous
  • Personal assistant or medical/dental receptionist experience is a plus but not mandatory
  • Strong time management skills with the ability to prioritize tasks efficiently in a fast\-paced environment
