Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi\-line phone systems efficiently, handling inquiries and routing calls with clarity and courtesy.
  • Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and records.
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office management tools.
  • Support calendar management by scheduling appointments, meetings, and coordinating events seamlessly.
  • Assist with bookkeeping duties using QuickBooks or similar accounting software to track expenses and invoices.
  • Provide exceptional customer service by supporting clients, answering questions, and resolving issues promptly.
  • Proofread correspondence and documents to ensure accuracy and professionalism before distribution.
  • Handle clerical tasks such as photocopying, faxing, mailing, and maintaining office supplies inventory.
  • Support personal assistant duties as needed, including travel arrangements or special project coordination.
  • Experience

  • Prior office management or administrative experience in a fast\-paced environment is preferred.
  • Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Experience with clerical tasks such as filing, data entry, proofreading, and calendar management is essential.
  • Familiarity with multi\-line phone systems, office equipment operation, and front desk procedures is highly desirable.
  • Bilingual abilities are a plus for supporting diverse client needs and enhancing communication.
  • Knowledge of bookkeeping software like QuickBooks or similar programs is advantageous.
  • Strong organizational skills combined with excellent time management to prioritize tasks efficiently.
  • Previous experience in customer service roles or as a receptionist—especially in medical or dental settings—is beneficial but not required.
