Responsibilities

  • Greet visitors and clients professionally at the front desk, ensuring a positive first impression
  • Manage multi\-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle data entry, filing, and document proofreading to maintain organized records
  • Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
  • Assist with bookkeeping duties using QuickBooks or similar accounting software when needed
  • Maintain office supplies inventory and place orders to ensure smooth daily operations
  • Provide excellent customer service by addressing inquiries promptly and efficiently across various channels
  • Support administrative functions including copying, scanning, and preparing reports using Microsoft Office and Google Workspace tools
  • Qualifications

  • Proven experience in an office environment with clerical or administrative responsibilities
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are highly desirable to assist diverse clients and team members
  • Experience with multi\-line phone systems, phone etiquette, and front desk operations preferred
  • Knowledge of QuickBooks or bookkeeping experience is a plus
  • Demonstrated customer service skills with a friendly, professional demeanor
  • Ability to handle confidential information discreetly and accurately manage time in a fast\-paced setting
