We are seeking an energetic and highly organized Personal/Executive Assistant to provide comprehensive support to our leadership team. Responsibilities

  • Manage complex calendars, schedule appointments, and coordinate meetings using tools like Microsoft Outlook Calendar and Google Workspace.
  • Prepare and proofread correspondence, reports, and presentations with attention to detail and accuracy.
  • Organize travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries.
  • Handle incoming calls with excellent phone etiquette, screen inquiries, and direct communications appropriately.
  • Assist with event planning for meetings, conferences, or company functions from logistics to execution.
  • Maintain filing systems, data entry records, and manage document signing via platforms like DocuSign.
  • Support bookkeeping activities using QuickBooks for expense tracking and basic financial record keeping.
  • Coordinate projects by tracking deadlines, following up on action items, and ensuring timely completion of tasks.
  • Perform office management duties such as supply procurement, managing front desk operations, and overseeing office organization.
  • Provide personal assistance including errands, appointment reminders, and other support to ensure the executive’s day runs smoothly.
  • Requirements

  • Proven experience as a personal or executive assistant with a strong background in office management and administrative support.
  • Excellent organizational skills with the ability to multitask effectively in a dynamic environment.
  • Proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications (Gmail, Docs), and data entry tools.
  • Strong typing skills coupled with transcription and proofreading abilities for accurate documentation.
  • Experience with bookkeeping software such as QuickBooks and familiarity with basic bookkeeping principles.
  • Exceptional communication skills with professional phone etiquette and customer service orientation.
  • Ability to handle multi\-line phone systems efficiently while maintaining professionalism at all times.
  • Knowledge of project coordination techniques to manage multiple priorities seamlessly.
  • Office experience involving filing systems, clerical tasks, front desk responsibilities, and general office organization.
  • Familiarity with electronic signature platforms like DocuSign for document processing.
