We are seeking a dynamic and highly organized Executive Assistant to provide exceptional administrative support to the Chief Operations Officer. This role is vital in ensuring smooth daily operations, assist in dispatching, coordinating projects, and handling a variety of clerical tasks with professionalism and efficiency. Responsibilities

  • Manage billing and gallon reconciliation for wholesale customers gas stations.
  • Manage accounts receivable for wholesale customers by depositing and posting payments.
  • Prepare, proofread, and transcribe correspondence, reports, presentations, and meeting notes with precision.
  • Handle incoming calls with professional phone etiquette, screen inquiries, and direct calls appropriately across multi\-line phone systems.
  • Organize and maintain filing systems—both electronic and physical—ensuring easy retrieval of documents and records.
  • Assist with event planning for internal meetings, conferences, or company events by coordinating logistics and managing vendor communications.
  • Support bookkeeping tasks such as data entry in QuickBooks or similar accounting software, invoicing, expense tracking, and basic bookkeeping duties.
  • Provide personal assistant support as needed, including managing confidential information discreetly and handling special projects or assignments.
  • Create signage for convenience stores and car washes.
  • Requirements

  • Proven experience in executive administrative support or office management roles with strong organizational skills.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tasks.
  • Excellent typing speed combined with transcription and proofreading skills to produce accurate documents swiftly.
  • Familiarity with office equipment such as multi\-line phone systems, printers, and office supplies management.
  • Strong communication skills with professional phone etiquette and customer service experience.
  • Ability to handle multiple priorities efficiently while maintaining attention to detail under tight deadlines.
  • Experience using AI is a plus.
