Duties

  • Greet visitors warmly at the front desk, ensuring they feel welcomed and attended to promptly
  • Manage multi\-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
  • Handle data entry, filing, and document proofreading to maintain accurate records and organized files
  • Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, correspondence, and presentations
  • Assist with calendar management and scheduling appointments or meetings for staff members
  • Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
  • Provide administrative support including copying, scanning, mailing, and managing office supplies to keep the workspace efficient
  • Qualifications

  • Proven experience in office management or administrative roles with strong clerical skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks or other bookkeeping software is preferred
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong communication skills in both English and bilingual capabilities are highly desirable
  • Experience working as a receptionist or in customer service roles such as dental or medical receptionist is a plus
  • Demonstrated ability to handle multi\-line phone systems with professionalism and courtesy
  • Basic typing speed and data entry skills; attention to detail is essential for proofreading documents
  • Knowledge of office equipment operation including printers, fax machines, and scanners
  • Ability to manage time efficiently in a busy environment while maintaining a positive attitude
