Job Summary

We are seeking a highly organized and personable New Patient Coordinator to join our medical office team. The ideal candidate will excel in managing new patient intake, scheduling, and administrative support, ensuring a smooth onboarding process for our patients. This role requires excellent communication skills, attention to detail, and proficiency with electronic health record (EHR) systems to facilitate efficient patient registration and documentation.

Responsibilities

  • Greet new patients warmly and guide them through the registration and intake process with professionalism and clarity.
  • Verify insurance information, perform insurance eligibility checks, and complete insurance documentation review to ensure accurate billing and coverage.
  • Schedule appointments using advanced EMR (Electronic Medical Records) systems such as Epic, Meditech, or Athenahealth, coordinating with clinical staff to optimize patient flow.
  • Maintain accurate and detailed medical records, including documentation review of patient histories, care plans, and billing information in compliance with HIPAA regulations.
  • Assist with insurance verification procedures and facilitate communication between patients and insurance providers for claims processing.
  • Manage phone systems efficiently using multi\-line phone systems; provide exceptional patient service by addressing inquiries promptly and professionally.
  • Support medical office management tasks such as filing, data entry, and maintaining organized medical records while utilizing Microsoft Office tools for documentation purposes.
  • Qualifications

  • Prior experience in a medical office setting, preferably within clinics or dental offices, with familiarity in front desk operations and medical administrative support.
  • Strong knowledge of EMR systems such as Epic, Meditech, eClinicalWorks, or Athenahealth; experience with dental software like Eaglesoft or Dentrix is a plus.
  • Proficiency in medical billing, coding (ICD\-10/ICD\-9/CPT), insurance verification, and health information management practices.
  • Excellent communication skills with phone etiquette expertise; bilingual abilities are highly desirable to serve diverse patient populations.
  • Demonstrated ability to handle sensitive patient information in accordance with HIPAA standards while maintaining confidentiality.
  • Strong computer skills including typing (10 key typing), Microsoft Office applications, and familiarity with electronic health record systems.
  • Office management experience with clerical skills such as filing, data entry, and scheduling in a fast\-paced environment.
