Duties

  • Maintain and organize physical and electronic records, ensuring easy retrieval and confidentiality
  • Perform data entry tasks with accuracy using computer literacy tools such as Microsoft Office, Google Workspace, and specialized software like QuickBooks
  • Manage filing systems, both digital and paper\-based, to ensure compliance with organizational standards
  • Support front desk operations by greeting visitors, handling multi\-line phone systems, and providing exceptional customer service
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff or clients
  • Proofread documents for accuracy and clarity before distribution or filing
  • Provide general administrative support including copying, scanning, proofreading, and preparing reports
  • Requirements

  • Proven office management or clerical experience with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with data entry, filing systems, and record maintenance
  • Excellent phone etiquette and customer support skills in a fast\-paced environment
  • Ability to operate multi\-line phone systems efficiently and professionally
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Strong typing skills with high attention to detail; familiarity with proofreading practices
  • Knowledge of QuickBooks or bookkeeping experience is desirable but not mandatory
  • Prior experience as a medical or dental receptionist or personal assistant is advantageous
  • Demonstrated time management skills with the ability to prioritize tasks effectively
