Job Summary

We are seeking a dynamic and organized Secretary/Receptionist to become the welcoming face and efficient coordinator of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. The ideal candidate will be proactive, detail\-oriented, bilingual (if applicable), and possess strong computer literacy to handle a variety of clerical and office management tasks with enthusiasm and professionalism.

Duties

  • Greet visitors, clients, and vendors warmly, ensuring a positive first impression for everyone entering the office
  • Answer phone promptly and courteously, directing calls accurately to appropriate departments or personnel
  • Manage front desk activities including scheduling appointments, handling mail, and maintaining visitor logs
  • Perform data entry, filing, and document proofreading to support administrative workflows efficiently
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and record keeping
  • Assist with calendar management and appointment setting for staff or executives as needed
  • Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and maintaining organized files
  • Skills

  • Proven experience in office administration or clerical roles with excellent organizational skills
  • Strong computer skills including proficiency in Microsoft Office, Google Workspace, data entry, and general computer literacy
  • Exceptional phone etiquette with experience managing phone systems in a professional setting
  • Knowledge of office management procedures including filing systems, proofreading documents, and calendar management
  • Customer service expertise with a friendly attitude and ability to handle inquiries efficiently
  • Excellent time management skills to prioritize tasks effectively in a fast\-paced environment
  • Previous experience as a receptionist / secretary is required
  • Personal assistant experience can be beneficial for supporting specific administrative needs
