Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi\-line phone systems efficiently, handling inquiries and routing calls accurately.
  • Maintain organized filing systems, both digital and physical documents, ensuring easy retrieval of information.
  • Perform data entry tasks with precision using Microsoft Office applications and other office management software.
  • Support calendar management and scheduling for executives or team members, coordinating meetings and appointments seamlessly.
  • Assist with bookkeeping tasks using QuickBooks and handle basic financial recordkeeping.
  • Provide exceptional customer service by supporting clients via phone or in person, addressing questions promptly and courteously.
  • Conduct proofreading of documents, correspondence, and reports to ensure accuracy before distribution.
  • Support office management duties such as supply ordering, inventory tracking, and maintaining a clean work environment.
  • Handle clerical duties including copying, scanning, filing, and preparing reports or presentations as needed.
  • Offer personal assistant support when required, managing tasks that enhance overall office efficiency.
  • Other tasks as assigned.
  • Qualifications

  • Entry level position aiming to train ideal candidate.
  • Proven experience in an administrative or clerical role within an office setting.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and data entry tools.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
  • Demonstrated experience with multi\-line phone systems and front desk operations.
  • Bilingual abilities are highly preferred to serve diverse client needs effectively.
  • Knowledge of QuickBooks for bookkeeping purposes is a plus.
  • Exceptional phone etiquette and customer service skills to support positive interactions with clients and visitors.
  • Strong typing skills with high accuracy; proofreading experience is advantageous.
  • Ability to manage calendar scheduling efficiently while maintaining confidentiality when necessary.
