Overview
We are seeking an upbeat, friendly and high energy Executive Administrative Assistant to join our team! This "righthand man or woman" will play a vital role in supporting an 20 year plus Financial Advisory firm by and ensuring smooth daily operations and the highest level of client service and support. If you thrive in a fast\-paced environment, excel at multitasking, and have a passion for delivering exceptional customer service, this position is for you! You will play a key role in enhancing office efficiency, facilitating communication, and contributing to the overall success of our organization. Having an understanding how to incorporate AI and other technology into practice management is imperative.
Responsibilities
- Helping scheduling meetings, organize client data and communication mapping ensuring high client touch points, taking and making client calls. (No selling!)
- Provide comprehensive executive administrative support by preparing reports, proofreading documents, making detailed notes and follow\-up tasks and opportunities, and handling correspondence efficiently.
- Handle office management duties such as filing, data entry, maintaining office supplies, and overseeing front desk operations to ensure a welcoming environment.
- Manage multi\-line phone systems with professionalism and excellent phone etiquette.
- Support assistant responsibilities as needed by such as social media management, etc.
- Proven experience in administrative roles IN THE FINANCIAL SERVICES INDUSTRY. Minimum 3 years.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tasks.
- Excellent organizational skills with keen attention to detail.
- Strong communication skills including phone etiquette and customer service experience.
- Ability to multitask efficiently in a fast\-paced environment while maintaining professionalism.
