Job Overview

This is in person, no remote work. Weekends off, No Nights. Monday through Friday 9 am to 4 pm with 30 minute lunch.

We are seeking a dynamic and energetic Office Assistant specializing in handling Front Door Sales and Service to join our team! This vital role combines front desk management, customer support, and office administration to create a welcoming environment for clients, visitors, and team members alike. As the first point of contact, you will ensure smooth daily operations by providing exceptional service, managing multi\-line phone systems, and supporting various administrative functions. Your enthusiasm and organizational skills will help foster a streamline office processes.

Duties

  • Greet visitors warmly and direct them appropriately, ensuring a positive first impression
  • Manage multi\-line phone systems with professionalism, answering inquiries promptly and courteously
  • Handle front desk responsibilities including check\-in procedures, scheduling appointments, and maintaining visitor logs
  • Assist with data entry tasks such as updating records in office management software
  • Support office management activities including filing, document proofreading, and organizing inventory (ability to lift 100 pounds) and sorting and labeling products
  • Provide excellent customer service by addressing questions, supporting customer needs, and offering assistance with sales or service inquiries
  • Maintain cleanliness and organization of the reception area to uphold a professional environment
  • Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), and data entry tools, training will be provided for our accounting software
  • Familiarity with multi\-line phone systems and phone etiquette standards
  • Experience in accounting is a plus for handling basic financial transactions
  • Excellent communication skills with a friendly demeanor and professional appearance
  • Strong time management skills to prioritize tasks efficiently in a fast\-paced environment
