Job Summary

We are seeking a dynamic and highly organized Real Estate Development Administrative Assistant to join our growing team. This pivotal role provides essential administrative support to our real estate development projects, ensuring smooth operations from project initiation through completion. The ideal candidate will be proactive, detail\-oriented, and possess excellent communication skills to coordinate between teams, manage schedules, and handle a variety of tasks. Your energy and enthusiasm will help drive our projects forward and contribute to the success of our development initiatives.

Duties

  • Manage calendars and schedule meetings for project managers and development teams, ensuring all deadlines are met efficiently.
  • Prepare, proofread, and organize project documentation, reports, and correspondence with precision and clarity.
  • Maintain accurate filing systems—both physical and digital—facilitating quick retrieval of important documents.
  • Support financial reporting
  • Assist with data entry tasks related to project tracking, budgets, and client information using Microsoft Office Suite and Procore and other software
  • Provide customer service support by responding promptly to internal teams and external partners’ requests.
  • Manage correspondence via email, ensuring timely follow\-up and organization of communications related to ongoing projects.
  • Support calendar management for multiple stakeholders, scheduling site visits, meetings, and deadlines with precision.
  • Skills

  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
  • Demonstrated experience in office management or administrative roles within real estate or related fields.
  • Bilingual abilities are highly valued to support diverse client interactions.
  • Familiarity with basic accounting functions is a plus.
  • Strong proofreading skills to ensure accuracy in all written communications.
  • Ability to handle clerical tasks such as filing, document management, and calendar coordination efficiently.
  • Customer service experience with a friendly demeanor that fosters positive relationships with clients and team members alike.
