Job Summary

We are seeking a detail\-oriented and highly organized Administration Assistant to support our office operations. The ideal candidate will possess strong clerical and customer service skills, with experience in office management and proficiency in various computer applications, with QuickBooks Online as our main system currently. This role offers an opportunity to contribute to a growing company, ensuring smooth daily operations and excellent support to staff and clients alike.

Duties

* Advanced QuickBooks Management: Maintain the entire QBO/Desktop system, including Accounts Payable/Receivable, bank reconciliations, and journal entries.

* Financial Reporting: Generate monthly/quarterly Profit \& Loss statements, balance sheets, and cash flow reports for ownership.

* Payroll \& Taxes: Process payroll, manage sales tax tracking, and ensure compliance for tax preparation.

* Office Administration: Handle daily office operations, including client communication, inventory/supplies, and filing if needed.

* Growth Opportunity: Transition from part\-time admin to a full\-time role within 3\-6 months based on company growth and performance.

  • Support personal assistant duties as needed, including travel arrangements or special project coordination
  • Requirements

  • Proven office or clerical experience with strong organizational skills
  • Proficiency in QuickBooks Online and Google Workspace tools
  • Excellent computer literacy and data entry skills with high typing speed and accuracy
  • Strong customer service skills with professional phone etiquette; experience in front desk or medical/dental reception is advantageous
  • Ability to manage multiple tasks efficiently while maintaining attention to detail
  • Strong organizational skills with the ability to prioritize effectively and meet deadlines
  • Previous experience in office management or administrative support roles preferred
  • Knowledge of calendar management, proofreading, filing systems, and office procedures is desirable

    Job Types: Full\-time, Part\-time

    Pay: $20\.00 \- $28\.00 per hour

    Expected hours: No less than 20 per week
