Overview
We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to senior leadership and ensure the smooth operation of daily office activities. This role is vital in maintaining efficient communication, managing schedules, coordinating projects, and handling administrative tasks with precision and professionalism. Duties
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with attention to detail.
- Provide high\-level administrative support including drafting correspondence, proofreading documents, and transcribing meetings or notes as needed.
- Coordinate various projects by tracking deadlines, preparing reports, and ensuring timely completion of tasks through effective project management practices.
- Organize and maintain filing systems—both digital and physical—ensuring easy retrieval of documents and confidentiality of sensitive information.
- Handle incoming calls with professionalism using multi\-line phone systems and phone etiquette, directing inquiries appropriately while providing excellent customer service.
- Assist with event planning for company meetings, conferences, or team\-building activities, including venue arrangements, catering coordination, and logistics management.
- Oversee office management duties such as ordering supplies, managing office equipment, and maintaining a tidy workspace to promote a productive environment.
- Support bookkeeping activities using QuickBooks or similar software by managing invoices, tracking expenses, and performing basic data entry tasks.
- Facilitate communication between departments by coordinating schedules, preparing agendas, and ensuring all stakeholders are informed of updates or changes.
- Use office software tools like Microsoft Office Suite (Word, Excel, PowerPoint) to prepare presentations, reports, and other documentation efficiently.
- Proven experience as an executive assistant or in a similar administrative role with at least several years of office experience.
- Strong organizational skills with the ability to multitask effectively in a fast\-paced environment.
- Excellent typing speed along with proficiency in data entry and transcription tasks.
- Demonstrated expertise in calendar management using Microsoft Outlook Calendar and Google Workspace tools.
- Proficiency in office management software such as Microsoft Office Suite and QuickBooks for bookkeeping purposes.
- Exceptional communication skills with polished phone etiquette and customer service orientation.
- Ability to proofread documents meticulously to ensure accuracy and professionalism.
- Experience coordinating events or projects from inception to completion with attention to detail.
- Familiarity with office equipment including multi\-line phone systems, fax machines, printers, and filing systems.
