Budgeted Salary: The budgeted base salary range for this position is $88,000 to $94,000 per annum. The School of Humanities and Sciences (H\&S) is the foundation of a liberal arts education at Stanford. The school encompasses 24 departments and 25 interdisciplinary programs. H\&S is home to fundamental and applied research, where free, open, and critical inquiry is pursued across disciplines. As the university’s largest school, H\&S serves as the foundation of a Stanford undergraduate education no matter which discipline students pursue as a major. Department/Program Description : The History Department is one of the largest degree\-granting Humanities Department at Stanford University with its \~50 active and 20 emerit faculty, 10 lecturers/postdoctoral fellows, 200 undergraduate and graduate students, 7 full\-time staff members, and 2 intra\-departmental liaisons. Our world\-class faculty prepare Stanford students for robust careers and engaged global citizenship through offering a diverse array of classes, rigorous mentoring, and collaborative research or programming efforts. Striving for operational excellence, the History staff team works closely with department affiliates, campus partners, alumni, and external organizations to carry out the Department’s academic and public outreach efforts. Position Summary: The Department of History in Stanford School of Humanities and Sciences seeks an experienced, enthusiastic, energetic Undergraduate Student Services Officer (SSO). Reporting directly to Assistant Director of Student Services, with a dotted reporting line to Director of Finance \& Operations, the SSO provides essential administrative support and advising duties integral to the success and growth of the Department’s undergraduate program. In addition to being the primary administrative resource for current and prospective majors and minors, the SSO’s primary responsibilities include: implementing and documenting undergraduate program policies, practices, and projects; resolving student and faculty inquiries in compliance with department and university policies; maintaining all undergraduate academic records for the department and monitoring undergraduate student degree progress; leading the course scheduling process for the entire department, assisting with curriculum planning for both undergraduate and graduate programs; revising the Bulletin and department publications (such as handbooks, webpages) in line with faculty, committee, and/or staff feedback, composing the commencement program, helping write grants, policy documents, and news stories related to undergraduate program activities (such as student interviews, grant reports); administering undergraduate grants and research assistant programs; supervising undergraduate peer advisors and Herodotus editors; providing administrative support to department committees related to undergraduate studies (such as the Undergraduate Studies Committee and Sources \& Methods Selection Committee). The SSO works closely with the History Department’s Vice Chair for Curricular Affairs, Director of Undergraduate Studies, and Director of Undergraduate Honors \& Research. They engage other Stanford units with minimal supervision to represent the Department and resolve programmatic or practical issues. Their primary internal collaborators include colleagues in the School of Humanities and Sciences’ Office of Graduate and Undergraduate Studies, the Vice Provost for Undergraduate Education, the Office of the Registrar, and the Office of Accessible Education. The SSO position requires a high level of organization, sound judgment, and excellent written and verbal communication skills. The ideal candidate will be a pro\-active, dependable, curious self\-starter who is open to learning new tools, processes, and policies. They will set realistic deadlines for themselves as well as for their faculty and staff counterparts to prioritize projects and deliver successful results on\-time and with minimal supervision. They will have demonstrated ability to effectively work and build trust with students, faculty, and staff who have a wide range of work and communication styles. Preferred Qualifications: Additional highly preferred qualifications for this position includes: Familiarity with Stanford student services applications (such as MAP, CourseDog, Axess, BI reporting) Experience with Slack and Smartsheet Core Duties : Oversee, review and administer student records by analyzing data, counseling students and providing recommendations that require interpretation and influence decisions. Make exceptions on issues of eligibility, course enrollment and program requirements. Develop recommendations and collaborate with staff, faculty and other offices to resolve programmatic issues within the school and across functional units, (such as strategizing to ensure optimal enrollment). Provide advice to students on a range of issues, including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., to guide them in making appropriate choices and decisions. Apprise students of research, fellowship and scholarship opportunities. Participate in related student recruitment and selection. Provide first line response to identify students in crisis and refer to appropriate resources, as needed. Collect and analyze data from multiple sources including student feedback, surveys, trend reports, and data analytics. Prepare and summarize reports and make recommendations to enhance offerings, such as programs and courses and to influence current processes and policies. Develop, analyze, influence and review, policies, processes and programs by incorporating feedback and trend data learned from first\-line interactions with students. Advise manager and team on policy updates and provide recommendation for implementation of changes. Identify trends, perform needs analysis, and participate in the implementation and testing of new technology. May develop marketing materials and strategies for program activities and outreach functions. Assist in planning and developing webinars, education fairs and other external functions. May provide oversight with the administration of financial processes such as financial reimbursements, data entry, reviewing terms and conditions regarding contracts, understanding vendor requirements, and following up and resolving issues. May train and supervise other staff, volunteers, student and temporary workers. Minimum Education and Experience: Bachelor’s degree and two years of relevant experience, or combination of education and relevant experience. Knowledge, Skills and Abilities : Strong written and verbal communication skills. Basic computer skills, including experience with Microsoft Office Suite. Basic analysis and problem solving skills. Customer service skills. Relevant computer systems/technology experience. Understanding of financial transactions. Ability to learn and understand compliance with legal, financial, and university policies and external regulations.
