Congregational Administrator \& Clergy Assistant Temple Solel of Hollywood Temple Solel of Hollywood is a growing Reform Jewish congregation of approximately 200 member families in Hollywood, Florida. Affiliated with the Union for Reform Judaism, Temple Solel is a warm, multigenerational community dedicated to meaningful Jewish living, lifelong learning, worship, service, and authentic relationships. We welcome individuals and families from diverse backgrounds and strive to create a vibrant and engaging congregational home. Temple Solel is seeking a highly organized, proactive, and relationship\-oriented Temple Administrator \& Clergy Assistant to serve as a central leader in the day\-to\-day operations of the congregation. This position combines executive support to the Rabbi with primary responsibility for congregational administration, membership engagement, communications, programming coordination, and facility operations. Reporting directly to the Rabbi and working in close partnership with the Temple President, officers, committee chairs, volunteers, and lay leadership, this individual serves as the primary operational liaison among clergy, leadership, congregants, and community partners. The Temple Administrator \& Clergy Assistant is responsible for ensuring that synagogue programs, events, communications, membership processes, lifecycle activities, and administrative functions are organized, communicated, coordinated, and successfully executed. The position oversees membership inquiries and onboarding, congregational communications and mailings, clergy scheduling, program implementation, lifecycle logistics, and facility coordination. The Temple Administrator \& Clergy Assistant also supports the Rabbi in responding to pastoral inquiries and serves as one of the primary points of contact for members, visitors, and prospective members. The ideal candidate will possess exceptional organizational and interpersonal skills, sound judgment, warmth, discretion, and the ability to manage multiple priorities in a dynamic congregational environment. Core ResponsibilitiesCongregational Relationships \& Membership ● Serves as one of the primary faces and voices of Temple Solel, welcoming congregants, visitors, prospective members, vendors, and community partners. ● Provides service and fosters a warm, caring, and responsive congregational environment and serves as the first point of contact for phone calls, emails, and office visitors. ● Responds to inquiries and directs individuals to the appropriate clergy member, officer, committee chair, or volunteer leader. ● Manages membership inquiries, prospective member follow\-up, and onboarding processes. ● Coordinates membership engagement activities in partnership with clergy and lay leadership. ● Maintains accurate membership records and congregational data within synagogue management software. ● Maintains strict confidentiality regarding congregant relationships, finances, pastoral matters, and lifecycle events. Clergy Support \& Pastoral Coordination ● Provides executive and administrative support to the Rabbi. ● Manages and maintains the Rabbi’s calendar, appointments, meetings, and scheduling priorities. ● Coordinates meetings and communications between the Rabbi and congregants, community organizations, clergy colleagues, and outside partners. ● Assists the Rabbi in responding appropriately and sensitively to pastoral inquiries and congregational needs. ● Coordinates scheduling and logistics for lifecycle events including B’nai Mitzvah, weddings, funerals, baby namings, and other significant occasions. ● Organizes Yahrzeit notifications and other lifecycle communications. ● Assists with preparation for worship services, lifecycle events, holiday observances, and special clergy initiatives. Programming \& Congregational Engagement ● Serves as the primary coordinator for synagogue programming and congregational events. ● Works closely with the Rabbi, President, committee chairs, and lay leaders to plan, schedule, communicate, and execute programs and events. ● Serves as the primary administrative liaison among clergy, officers, committee chairs, volunteers, and congregants. ● Maintains program timelines, event logistics, registrations, communications, room reservations, and follow\-up activities. ● Ensures that committee chairs and program leaders receive the administrative support necessary to successfully implement synagogue initiatives. ● Coordinates volunteer participation and assists in recruiting and scheduling volunteers when needed. ● Supports the planning and implementation of religious, educational, social, and community engagement programs. Communications \& Publications ● Oversees congregational communications to ensure timely, accurate, and professional messaging. ● Creates, edits, distributes, and tracks synagogue communications including email announcements, newsletters, flyers, postcards, and mailings. ● Produces and distributes the weekly congregational newsletter and other recurring communications. ● Maintains the synagogue website and online events calendar. ● Coordinates social media postings and event promotion. ● Ensures consistency in branding, messaging, and communication standards across all synagogue platforms. ● Works with clergy and lay leadership to publicize programs, services, and community events. Administration \& Office Operations ● Oversees the day\-to\-day operation of the synagogue office and maintains regular office hours and ensures consistent administrative coverage. ● Answers phones, responds to voicemails, and coordinates with answering services. ● Maintains office systems, files, records, archives, and administrative procedures. ● Maintains the master synagogue calendar and coordinates scheduling of programs, meetings, facility use, and clergy commitments. ● Oversees office volunteers and manages office supply inventory and ordering. ● Process incoming mail and coordinate distribution to clergy, staff, and leadership. Facilities, Custodial \& Operational Coordination ● Provides direct supervision and support to the Temple Custodian. ● Coordinates custodial priorities and facility preparation for services, programs, meetings, and special events. ● Helps ensure synagogue facilities remain clean, safe, welcoming, and operational. ● Coordinates room setup and building readiness for congregational activities. ● Facilitates scheduling and communication with maintenance vendors, service providers, security personnel, and contractors in consultation with the Rabbi and lay leadership. ● Assists with coordination of building repairs, maintenance projects, inspections, deliveries, and security\-related needs. ● Tracks facility and operational concerns and communicates appropriately with responsible lay leaders and committees. Other Responsibilities ● Attends selected evening and weekend meetings, programs, worship services, and special events as needed. ● Works collaboratively with clergy, staff, officers, committee chairs, and volunteers. ● Performs other duties as assigned in support of the mission and goals of Temple Solel. Schedule, Availability, and Work Environment This is a full\-time position that generally maintains office hours of 9:30 a.m. to 5:30 p.m., Monday through Friday and occasional evening committee meetings (usually over zoom). Depending on congregational needs and the candidate’s circumstances, there may be opportunities for limited remote work, including the possibility of one remote workday per week. Our preference is for the Temple Administrator \& Clergy Assistant to adjust their schedule on Fridays to support Shabbat programming and worship, ideally working approximately 2:30 p.m. to 8:30 p.m. when needed. However, with the right candidate, this may not require a weekly requirement, and Temple Solel is open to discussing reasonable scheduling flexibility for the right candidate. The role also includes limited weekend responsibilities associated with synagogue life, including major programs, services, lifecycle events, and congregational activities. Candidates should anticipate approximately 7 Saturday mornings and 7 Sunday events annually, aside from holidays, generally occurring on separate weekends and with schedules communicated well in advance whenever possible. The Temple Administrator \& Clergy Assistant serves as the primary logistical coordinator for many synagogue events and is expected to be present for major congregational programs and Jewish holidays, including the High Holy Days and other significant observances. While the position is generally structured as a 40\-hour work week, there are periods throughout the year—particularly around major holidays and special events—when additional hours may be required. During these peak periods, workloads may increase to approximately 50–55 hours per week. Because the position works closely with the Rabbi and congregants during significant lifecycle moments, candidates should be willing to assist with urgent pastoral and congregational needs that occasionally arise outside of normal business hours. Temple Solel is committed to working collaboratively with the right candidate to balance congregational needs with personal and family responsibilities. Qualifications \& Skills ● Minimum of three to five years of progressively responsible administrative, office management, nonprofit, congregational, or executive support experience. ● Excellent interpersonal, customer service, and relationship\-building skills. ● Strong organizational skills with exceptional attention to detail. ● Excellent written and verbal communication skills. ● Ability to manage multiple projects and competing priorities simultaneously. ● Ability to work independently and exercise sound judgment. ● Ability to maintain strict confidentiality and discretion. ● Strong proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and cloud\-based office systems. ● Experience with ShulCloud or similar synagogue, membership, donor, or customer relationship management software preferred. ● Familiarity with website content management, email marketing platforms, and social media communications. ● Knowledge of Jewish customs, holidays, lifecycle events, and the Jewish calendar strongly preferred. ● Previous experience working in a synagogue, Jewish organization, nonprofit, educational institution, or faith\-based organization is highly desirable. ● Experience coordinating events, volunteers, and community programming preferred.
