Job Summary We are seeking an energetic and highly organized Personal Assistant to provide comprehensive administrative support to executives and team members. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with precision and professionalism. The ideal candidate will thrive in a fast\-paced environment, demonstrate exceptional organizational skills, and possess a proactive attitude to keep our team functioning efficiently and effectively. Responsibilities Manage complex calendars, schedule appointments, meetings, and events using Microsoft Outlook Calendar and Google Workspace. Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries. Handle correspondence via phone, email, and written communication with professionalism and courtesy, utilizing excellent phone etiquette. Prepare reports, proofread documents, transcribe notes, and perform data entry tasks with accuracy using Microsoft Office tools. Oversee office management duties such as filing, organizing documents, maintaining office supplies, and managing front desk responsibilities. Assist with bookkeeping tasks including invoicing, expense tracking using QuickBooks, and basic bookkeeping procedures. Support project coordination efforts by tracking deadlines, preparing presentations, and facilitating communication among team members. Use office systems like multi\-line phone systems and office management software such as DocuSign for document signing processes. Maintain confidentiality of sensitive information while providing executive administrative support to ensure seamless operations. Experience Proven experience as a Personal Assistant or in an administrative support role with a strong background in office management. Demonstrated expertise in event planning and project coordination to facilitate successful meetings or company initiatives. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools. Familiarity with QuickBooks for bookkeeping tasks and basic accounting procedures. Excellent organizational skills with the ability to multitask efficiently in a dynamic environment. Strong typing skills combined with meticulous proofreading and transcription abilities. Previous experience handling multi\-line phone systems and managing calendar systems like Microsoft Outlook Calendar. * Exceptional customer service skills coupled with professional phone etiquette to interact effectively with clients and team members alike.
