We’re looking for a dependable, detail\-oriented Administrative Coordinator who enjoys staying organized, supporting a team, and helping projects run smoothly from start to finish.

Position Overview

This role is the hub of our daily operations. You’ll work closely with management, field crews, vendors, and customers to keep estimates, scheduling, billing, and documentation organized and on track.

Responsibilities

· Answer phones and schedule estimates

  • Enter job estimates into QuickBooks and send to customers
  • Calendar scheduled jobs using Gmail calendar
  • Communicate with customers via phone and email regarding scheduling, updates, and invoices
  • File construction liens, notices, and releases with the appropriate jurisdictions
  • Process invoices and payments using QuickBooks
  • Maintain job files, contracts, and closeout documentation
  • Track change orders and project details
  • General office administration, filing, and data entry
  • Provide day\-to\-day support to management and field staff
  • Qualifications

  • 2\+ years of administrative or office experience (construction or trades industry preferred)
  • QuickBooks experience preferred but will train
  • Knowledge of Microsoft Office (Excel, Word, Outlook) preferred
  • Strong organization and multitasking skills
  • Professional communication and customer service skills
  • Detail\-oriented with the ability to meet deadlines
  • Self\-starter who works well independently and as part of a team

    Monday–Friday \| 8:00 am – 5:00 pm \| In\-office position
