Position Summary:
The Priority Center is seeking a mission\-driven and highly organized Executive Assistant to provide direct, high\-level support to the Executive Director with a strong focus on Board relations, donor engagement, and executive operations.
This role serves as a key liaison between the Executive Director, Board of Directors, donors, and internal teams, ensuring seamless communication, coordination, and follow\-through. Responsibilities include managing Board and committee activities, preparing Board materials, coordinating donor outreach and follow\-up, and maintaining accurate records in Bloomerang.
The Executive Assistant also oversees Executive Office operations, including calendar management, communications, office administration, and event coordination. The ideal candidate is proactive, detail\-oriented, and exercises strong judgment, discretion, and professionalism in managing sensitive information and high\-level relationships.
Executive Assistant Responsibilities
Executive \& Board Support
- Manage the Executive Director’s calendar, schedule, and priorities, ensuring efficient use of time and alignment with organizational goals.
- Establish and maintain effective working relationships with Board Members, staff, and community partners.
- Coordinate all Board and committee meetings, including scheduling, preparing and distributing Board packets, and supporting Board communications.
- Attend meetings as needed and prepare agendas, minutes, and resolutions in a timely and accurate manner.
- Ensure corporate and governance documents are current, organized, and accessible.
- Prepare reports, presentations, and correspondence for review by the Executive Director.
- Serve as a primary point of contact for the Executive Office by screening calls, emails, and correspondence, and responding independently when appropriate.
- Manage and prioritize all incoming communications for the Executive Director, including drafting, editing, and proofreading responses.
- Handle confidential and sensitive information with a high degree of discretion and professionalism.
- Coordinate donor outreach, including scheduling donor calls, preparing briefing materials, and tracking follow\-up actions.
- Conduct donor follow\-up communications and support ongoing stewardship efforts.
- Maintain and manage the donor database (Bloomerang), ensuring accurate records, gift entry, reporting, and data integrity.
- Support sponsorship efforts by tracking outreach, managing responses, and following up on sponsorship commitments and asks.
- Coordinate event logistics, including managing table RSVPs, guest lists, and donor communications.
- Plan and coordinate visits and tours for donors, Board Members, and community stakeholders.
- Organize Executive Office meetings, events, and conferences, including securing facilities, coordinating catering, managing invitations, coordinating speakers, and monitoring event budgets.
- Support volunteer and Board committee coordination, including meeting facilitation and administrative support.
- Oversee day\-to\-day Executive Office operations, including managing supplies, equipment, and vendor coordination.
- Prepare timesheets and expense reports for the Executive Director.
- Create and maintain databases, spreadsheets, and tracking tools related to Executive Office, Board, and development activities.
- Provide general administrative and operational support across departments as needed.
- Bachelor’s degree in Business Administration, Communications, or a related field preferred. Equivalent combination of education and experience may be considered.
- Minimum of three (3\) years of progressively responsible executive administrative support experience, preferably supporting senior executives, nonprofit leadership, or boards of directors.
- Exceptional organizational, time management, and multitasking skills with the ability to manage competing priorities and deadlines.
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive matters with professionalism and discretion.
- Strong written and verbal communication skills, including the ability to draft, proofread, and edit correspondence, reports, presentations, and other materials independently.
- Ability to establish and maintain effective working relationships with executive leadership, board members, employees, community partners, and external stakeholders.
- Highly proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and virtual meeting platforms.
- Experience coordinating meetings, preparing agendas and materials, taking meeting minutes, and managing calendars and schedules.
- Strong attention to detail and ability to work independently with minimal supervision.
- Ability to adapt to changing priorities and organizational needs while maintaining a positive and solutions\-oriented approach.
- Experience working in a nonprofit or mission\-driven organization is highly desirable.
- Bilingual skills are preferred but not required.
