Position: Administrative Assistant \- Environmental Services
Location: Sandstone, MN
Union: AFSCME Road \& Bridge Technician Unit 1
Status: Full\-time, non\-exempt (40 hours/week)
GENERAL DEFINITION OF WORK
Performs intermediate skilled administrative support to department staff, receiving and processing incoming calls and visitors, preparing and maintaining records and files, typing a variety of documents, preparing reports, and related work as apparent or assigned. Work is performed under the limited supervision of the Environmental Services Manager.

ESSENTIAL FUNCTIONS
- Provide general clerical support to support team efforts; maintain permit database and computer files; preparing mailings, compiling packets, open and distribute the mail, and other general office duties as needed.
- Responsible for reception of all building visitors, consumer inquiries, and requests; relay requests or documents to appropriate staff, and others as needed; handle multiple competing demands.
- Handles inquiries from the public by telephone; forwards calls to appropriate party, if necessary.
- Draft and edit correspondence including letters, emails, permits, certificates of compliance, brochures, public hearing notices, newspaper advertising, and other announcements.
- Coordinates and schedules inspections throughout the construction process.
- Reviews property sale listings, determines point\-of\-sale septic inspection requirements, and communicates with property owners regarding non\-compliance.
- Receipts in payments via cash, check, and processes credit card payments.
- High school diploma or GED and one or more years of experience in office clerical, administrative support, customer service, or real estate work;
- Or equivalent combination of education and experience;
- A Valid driver's license
- Experience with permit processing, licensing, or regulatory compliance documentation
- Experience in environmental services, land use, or a related regulatory program
- Experience with property transactions, real estate closings, or point\-of\-sale compliance processes
- Proficiency with database entry and records management in a professional setting

KNOWLEDGE, SKILLS, AND ABILITIES
General knowledge of standard office and receptionist procedures and the operation of a multi\-line phone system; video conferencing, postage machine, credit card machine system, AppExtender; general knowledge of departmental programs and policies; ability to speak clearly; ability to understand and follow written and oral directions; ability to operate standard office, word and data entry equipment; ability to establish and maintain effective working relationships with associates and the public.
