Responsibilities

  • Greet customers warmly at the front desk, managing multi\-line phone systems with confidence and courtesy
  • Assist clients with inquiries, providing accurate information about products, services, or appointments
  • Manage appointment scheduling and calendar management using Google Workspace or Microsoft Office tools
  • Perform data entry, filing, and maintain organized records to ensure smooth office operations
  • Support administrative tasks such as proofreading documents, managing correspondence, and handling clerical duties
  • Utilize computer skills to update customer records in QuickBooks or other relevant software
  • Provide excellent customer support by addressing concerns promptly and professionally, demonstrating strong phone etiquette
  • Assist with office management duties including inventory tracking, bookkeeping, and general administrative support
  • Experience

  • Prior office experience or clerical experience is highly preferred, especially in a customer\-facing environment
  • Bilingual abilities are a plus, enabling effective communication with diverse clientele
  • Familiarity with multi\-line phone systems, Microsoft Office Suite (Word, Excel), and Google Workspace is essential
  • Experience in medical or dental receptionist roles, or as a personal assistant, is advantageous
  • Demonstrated organizational skills with the ability to multitask efficiently and manage time effectively
  • Knowledge of bookkeeping, data entry, filing procedures, and office management practices
  • Strong customer service background with excellent phone etiquette and interpersonal skills
