About the Role
We are looking for an experienced, highly organized Family Personal Assistant to support a busy private household in the San Francisco Bay Area.
This is a long\-term role, beginning at approximately 20 hours per week for the first few months. The schedule will likely include 2–3 days per week on\-site, with some work that can be handled remotely. If the working relationship is strong, we expect the role may grow into a full\-time position around August or September.
This role is ideal for someone with prior experience as an Executive Assistant, Personal Assistant, Household Manager, Family Assistant, or operations\-focused administrative professional. We are looking for someone who is proactive, detail\-oriented, discreet, and comfortable managing a wide range of household, family, vendor, scheduling, travel, and event\-related tasks.
You will work directly with the family to bring structure, follow\-through, and momentum to household operations and personal logistics. The right person will be able to take ownership, ask smart questions, manage multiple moving pieces, and close the loop without needing heavy oversight.
What You’ll Do
- Coordinate with vendors, service providers, contractors, and household staff, including sourcing options, scheduling appointments, tracking progress, and following up until tasks are completed
- Manage household calendars, appointments, reminders, and scheduling across multiple family members
- Support family logistics, including errands, time\-sensitive tasks, returns, household purchases, and local coordination
- Assist with travel planning, including researching hotels, flights, transportation, childcare logistics, itineraries, reservations, and other trip details
- Help organize social events hosted by the family, including vendor research, invitations, guest tracking, event logistics, supplies, timelines, and day\-of coordination support
- Research products, services, providers, or solutions and present clear, well\-organized recommendations
- Maintain organized notes, records, vendor lists, task trackers, and action logs so nothing falls through the cracks
- Track open tasks, flag blockers early, and follow up proactively
- Adapt to shifting priorities and use good judgment when plans change or urgent issues arise
- Based in the San Francisco Bay Area
- Available to work on\-site 2–3 days per week
- Prior experience as an Executive Assistant and/or Personal Assistant
- Valid driver’s license
- Comfortable driving in an urban environment
- Strong experience with scheduling, coordination, follow\-up, and administrative support
- Excellent organizational skills and ability to manage multiple concurrent tasks
- Strong written and verbal communication skills
- High attention to detail and strong follow\-through
- Professional, discreet, reliable, and solutions\-oriented
- Able to work independently and take initiative without needing constant direction
- Own vehicle
- Prior experience supporting a private household, family office, founder, executive, or high\-net\-worth family
- Experience with vendor management, household operations, event planning, or travel coordination
- Comfort managing both professional\-style administrative tasks and practical household/family logistics
- What city/town are you based in?
- Do you have a valid driver’s license?
- Do you have your own vehicle?
- Please describe your relevant experience with administrative support, executive assistance, personal assistance, vendor management, household operations, travel planning, event coordination, or family logistics.
- Tell us about a difficult problem you had to solve in an office, executive support, household, or operations context. Why was it challenging? How did you evaluate possible solutions and execute the right fix?
- While the parents are away on a business trip, the nannies staying home with the kids report that the garbage disposal is not working and water is not draining in the kitchen sink. Walk us through exactly how you would handle this, step by step.
- What is your expected hourly rate?
