Responsibilities
- Manage daily office operations, including front desk duties, greeting visitors, professionalism and courtesy
- Oversee calendar management and scheduling for staff appointments, meetings, and events using tools like Google Workspace and Microsoft Office
- Perform bookkeeping tasks utilizing QuickBooks, including data entry, invoicing, expense tracking, and bank reconciliations
- Provide exceptional customer service by supporting clients and visitors with inquiries, appointment scheduling, and general assistance
- Maintain organized filing systems—both physical and digital—and ensure all documents are accurate and up\-to\-date
- Support administrative tasks like typing documents, data entry, proofreading materials, and managing office supplies to ensure a well\-stocked workspace
- Experience with strong organizational skills and attention to detail
- Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
- Excellent computer literacy with Google Workspace applications (Gmail, Calendar, Drive) and familiarity with multi\-line phone systems
- Previous clerical experience including data entry, filing, proofreading, and customer support
- Strong communication skills with professional phone etiquette; bilingual abilities are a plus
- Experience in bookkeeping or basic financial management; familiarity with payroll processes is advantageous
- Ability to prioritize tasks efficiently using time management techniques in a fast\-paced environment
- Personal assistant or medical/dental receptionist experience is beneficial but not required
