Job Overview
We are seeking a dynamic and highly organized Artist Management Coordinator/Assistant to join our vibrant team. This role is essential in supporting the day\-to\-day operations of artist management, ensuring seamless communication, scheduling, and administrative support. As a key member of our team, you will help foster strong relationships with artists, agents, and industry partners while maintaining efficient office operations.
Responsibilities
- Manage artist and owner calendars, schedule appointments, rehearsals, recording sessions, and promotional events with precision and attention to detail
- Serve as the primary point of contact for artists advance and logistics
- Serve as personal assistant to owner \- email management, follow up, and helping keep the schedule.
- Coordinate travel arrangements, accommodations, and logistical needs for artists’ tours and appearances
- Assist in maintaining accurate records using bookkeeping tools like QuickBooks and organize files through effective filing systems
- Support office management tasks including front desk duties, greeting visitors, handling phone etiquette, and managing office supplies
- Assist with data entry, proofreading documents, and preparing reports to ensure clarity and professionalism in all communications
- Provide coordination with social media for all artists.
- Proven experience in office management or administrative support within the entertainment or creative industries
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and general computer literacy
- Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment
- Experience with bookkeeping software such as QuickBooks is preferred for handling financial records accurately
- Demonstrated phone etiquette skills along with experience managing multi\-line phone systems and front desk responsibilities
- Strong typing speed combined with attention to detail for data entry, proofreading, and document preparation
- Previous personal assistant or executive assistant experience is advantageous for calendar management and task prioritization
- Knowledge of office procedures including filing systems, customer service practices, and clerical tasks such as photocopying and faxing
- Excellent time management skills to coordinate multiple projects simultaneously while maintaining professionalism
