Job Overview

We are seeking a highly organized and detail\-oriented Administrator to support our office operations. The ideal candidate will possess strong office management skills, proficiency in various computer applications, and excellent communication abilities. This role is essential in ensuring smooth daily operations, maintaining accurate records, and providing exceptional customer support. Experience with QuickBooks, Microsoft Office, Google Workspace, and bilingual capabilities are highly valued. The Administrator will serve as a key point of contact for clients and staff, managing administrative tasks efficiently and professionally.

Duties

  • Manage front desk responsibilities including greeting visitors and handling multi\-line phone systems with professional phone etiquette
  • Perform data entry, filing, and proofreading to maintain accurate records and documentation
  • Utilize Microsoft Office and Google Workspace for document creation, editing, and organization
  • Oversee calendar management and schedule appointments or meetings using various digital tools
  • Handle bookkeeping tasks using QuickBooks and assist with basic office bookkeeping procedures
  • Provide customer support through effective communication and problem\-solving skills
  • Support office management activities such as organizing files, maintaining supplies, and coordinating office functions
  • Assist with personal assistant duties including calendar management and task prioritization
  • Maintain a professional environment by managing clerical tasks efficiently and supporting team members as needed
  • Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Excellent phone etiquette and customer service skills; bilingual abilities are a plus
  • Strong computer literacy with the ability to manage multi\-line phone systems and office equipment
  • Demonstrated organizational skills with the ability to prioritize tasks effectively
  • Attention to detail for proofreading, filing, and maintaining accurate records
  • Prior experience in office management or administrative support roles is desirable
  • Ability to work independently with minimal supervision while supporting team objectives
