Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Manage multi\-line phone systems, screen calls, and relay messages efficiently with excellent phone etiquette.
- Maintain the front desk area, ensuring it is tidy, organized, and welcoming at all times.
- Handle data entry tasks such as filing, document proofreading, and updating records using Microsoft Office and Google Workspace tools.
- Assist with calendar management, appointment scheduling, and basic office management duties to support team operations.
- Provide customer service support by answering inquiries promptly and professionally via phone or email.
- Support clerical tasks including photocopying, faxing, mailing, and maintaining office supplies inventory.
- Proven office experience or clerical experience with strong organizational skills.
- Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and data entry skills.
- Experience with multi\-line phone systems and excellent phone etiquette.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Strong attention to detail for proofreading documents and managing schedules accurately.
- Exceptional time management skills to prioritize tasks efficiently in a fast\-paced environment.
- Previous experience as a dental or medical receptionist is a plus; personal assistant experience is also valued.
