Join a small, client\-focused law office specializing in wills, trusts, and probate. We are looking for a reliable, detail\-oriented Administrative Assistant to support a solo attorney with day\-to\-day operations.
Schedule: Flexible schedule to accommodate witnessing client Will signings. Schedule will be known a few weeks in advance but will change week\-to\-week based on client appointment schedule. Estimated 5\-10 hours per week, but will vary based on workload.
Work In\-Office and at Home: Duties will include both in\-office work and work from home (remote). Work from home will generally be making client appointment reminder and scheduling phone calls (on an app provided by employer), and calendaring appointments. Employer will provide an iPad for remote work.
Key Responsibilities:
- Answering and returning client phone calls
- Scheduling appointments and managing the attorney’s calendar
- Making reminder calls for upcoming appointments
- Preparing and assembling legal documents
- Preparing correspondence
- Recording Deeds
- Scanning and filing paper and digital records
- Witnessing the execution of estate planning documents (must be 18\+ and a U.S. citizen)
- Must be organized, punctual, and comfortable speaking with clients
- Basic computer proficiency (email, document formatting, scanning, MSWord, Apple Contacts, Apple Calendar). We use Apple computers.
- Willingness to learn and follow office systems and procedures
- Flexible availability to accommodate in\-office signing appointments
- Prior experience in an office or legal setting is a plus, but not required
