Job Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Responsibilities

  • Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with professional phone etiquette.
  • Operate multi\-line phone systems efficiently to ensure seamless communication across departments.
  • Oversee appointment scheduling, calendar management, and coordinate meetings for staff and executives.
  • Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools.
  • Handle clerical tasks such as photocopying, faxing, mailing, and organizing office supplies to ensure an organized workspace.
  • Provide exceptional customer service by supporting clients and visitors with professionalism and courtesy.
  • Assist with bookkeeping duties using QuickBooks or similar software to manage invoices, payments, and financial records.
  • Support office management initiatives including implementing organizational procedures and improving workflow processes.
  • Qualifications

  • Proven experience in office management or administrative roles with a strong background in clerical support and customer service.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer skills.
  • Experience with multi\-line phone systems, calendar management, data entry, filing systems, and proofreading.
  • Bilingual abilities are highly desirable to assist diverse client needs effectively.
  • Strong organizational skills with keen attention to detail and excellent time management capabilities.
  • Previous experience as a dental or medical receptionist or personal assistant is a plus.
  • Knowledge of bookkeeping software such as QuickBooks is preferred but not required.
  • Exceptional phone etiquette skills combined with professional demeanor in handling inquiries and correspondence.
