We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Responsibilities
- Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with professional phone etiquette.
- Operate multi\-line phone systems efficiently to ensure seamless communication across departments.
- Oversee appointment scheduling, calendar management, and coordinate meetings for staff and executives.
- Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools.
- Handle clerical tasks such as photocopying, faxing, mailing, and organizing office supplies to ensure an organized workspace.
- Provide exceptional customer service by supporting clients and visitors with professionalism and courtesy.
- Assist with bookkeeping duties using QuickBooks or similar software to manage invoices, payments, and financial records.
- Support office management initiatives including implementing organizational procedures and improving workflow processes.
- Proven experience in office management or administrative roles with a strong background in clerical support and customer service.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer skills.
- Experience with multi\-line phone systems, calendar management, data entry, filing systems, and proofreading.
- Bilingual abilities are highly desirable to assist diverse client needs effectively.
- Strong organizational skills with keen attention to detail and excellent time management capabilities.
- Previous experience as a dental or medical receptionist or personal assistant is a plus.
- Knowledge of bookkeeping software such as QuickBooks is preferred but not required.
- Exceptional phone etiquette skills combined with professional demeanor in handling inquiries and correspondence.
