Duties

  • Manage front desk responsibilities, greeting visitors and directing phone calls using multi\-line phone systems with professionalism and courtesy
  • Handle incoming inquiries via phone, email, and in person, providing outstanding customer service and support
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry tasks accurately using Microsoft Office tools such as Word, Excel, and Google Workspace applications
  • Assist with bookkeeping activities utilizing QuickBooks for invoicing, expense tracking, and financial record keeping
  • Support office management duties including calendar management, appointment scheduling, and coordinating meetings
  • Conduct proofreading and editing of correspondence to ensure clarity and professionalism in all communications
  • Experience

  • Previous office experience with a focus on clerical or administrative roles is required.
  • Demonstrated proficiency with QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook)
  • Bilingual ability is a plus to effectively serve diverse clients and team members
  • Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
  • Familiarity with data entry, filing systems, proofing documents, and general office management practices
  • Personal assistant or calendar management experience is advantageous for supporting executive schedules
