Position Overview:
This job description is designed to address the essentials of SHARE!’s Community Outreach Services Administrative Support position. This position provides data entry and clerical support for processing COS forms electronically. The COS forms are entered into a proprietary County of Los Angeles Department of Mental Health (DMH) integrated database system.
Key Responsibilities
Assist in monitoring, tracking, input and filing COS; ensuring proper notification, coordination and follow\-up.
Assist general filing.
Inputs COS claim data in a timely and accurate manner into the County of Los Angeles Department of Mental Health integrated web\-based information system.
Prints and/or assists in the compilation of statistical information for special weekly and/or monthly reports.
Print and maintain log of COS forms submitted; Identify missing COS and report findings.
Performs clerical support tasks such as organizes COS forms and documents, photocopies, file; and maintain COS filing drawer.
Set up filing system and make file folders for COS forms.
Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes.
Assist in composing mid\-level internal correspondence to include endorsements, requests for data, briefings, rosters or reports.
Assist in preparation of charts, graphs, and narrative information for management or program reports from material provided by higher level employees.
Assist in screening incoming calls and determine appropriate actions.
Assist in maintaining an appointment calendar and facilitate coordination for management to attend meetings and other functions.
Assist in ordering of monthly, quarterly and annual program supplies
Utilizes computerized data entry equipment and various word processing, spreadsheet and file maintenance programs to enter, store and/or retrieve information as requested or otherwise necessary.
Performs clerical support tasks for various departments as needed.
Skills/Qualifications:
Organization skills with ability to file accurately, high level attention to detail, ability to enter data that may become repetitive and monotonous and/or may require prolonged periods of concentration.
Maintains confidentiality and adheres to HIPAA regulations.
Performs other work or special projects as required or assigned.
Minimum Requirements, Training and Experience:
Personal knowledge of self\-help support groups and peer support.
Speed and accuracy with entering data into the DMH web\-based system;
Graduation from high school, GED or equivalent and working in an office environment.
Excellent verbal and written communication skills with the ability to work with various peers using Tools of the Trade within the SHARE! community.
Physical Demands:
Standing, sitting for long periods, talking and/or hearing. Vision suitable for reading smaller printed items and computerized data.
Work Environment:
Indoor, office and community peer\-run center environment, Moderate to loud noise
at times. Using the “Tools of the Trade” will provide you with appropriate responses for any incidents,
including defusing hostile or aggressive behaviours.
