Overview
We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing daily administrative tasks, coordinating schedules, overseeing vendor relationships, and supporting team members across various departments. Duties
- Manage and coordinate daily office operations, including front desk responsibilities and multi\-line phone systems to ensure seamless communication.
- Oversee schedule management for executives and team members, including calendar organization, appointment setting, and meeting arrangements.
- Supervise administrative staff and support team management initiatives, fostering a collaborative and efficient work environment.
- Handle vendor management by coordinating with suppliers, service providers, and contractors to ensure timely delivery of goods and services.
- Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with training \& development programs.
- Manage bookkeeping, payroll processing using QuickBooks or similar software, budgeting tasks, and financial recordkeeping to maintain accurate financial data.
- Organize company events, meetings, and trainings to promote team engagement and professional growth.
- Maintain filing systems—both physical and digital—to ensure easy access to important documents while adhering to confidentiality standards.
- Assist with medical office management or specialized administrative duties as needed in healthcare\-related environments.
- Proven experience in office administration or related clerical roles with strong organizational skills.
- Supervising experience preferred; capable of leading teams effectively while fostering a positive work environment.
- Proficiency in QuickBooks for bookkeeping and payroll processing; familiarity with budgeting is a plus.
- Excellent communication skills—both verbal and written—and strong phone etiquette for handling multi\-line systems professionally.
- Experience with event planning, calendar management, vendor relations, and office management best practices.
- Knowledge of human resources processes including onboarding, training \& development initiatives.
- Ability to multitask efficiently in fast\-paced settings with keen attention to detail.
- Prior experience managing medical offices or healthcare environments is advantageous but not required.
