About Our Practice:
Ridgefield Psychiatry is a private, fee\-for\-service practice in Ridgefield, Connecticut. Our practice is a blend of Psychiatry, Neurology, and Internal Medicine with wonderful patients, most of whom have been with us for many years. Currently, our practice consists of one MD, four Physician Assistants, and three office staff, and our practice continues to grow. The individualized care and attention given to each patient is what sets our practice apart from others and it is our priority that this not change. The ideal Assistant Office Manager candidate will be able to maintain our standard of care and facilitate our growth as a practice.
The Available Position:
We are looking for a confident and professional Assistant Office Manager with fantastic communication, planning/organizational, and interpersonal skills. Top candidates will work comfortably under pressure while multi\-tasking in a fast\-paced environment.
Responsibilities include (but not limited to):
* Greet patients professionally both in person and on the phone
* Optimize provider schedules and patient satisfaction with efficient scheduling
* Maintain office inventory and equipment by anticipating supply needs and expediting supply orders
* Assist in coordinating patient care, including contacting pharmacies, other medical practices, and laboratories on behalf of patients
* Organize office operations and procedures
* Address providers' queries regarding office management issues
* Maintain all patient records, both paper medical records and online scheduling
* Serve as the point person for office manager duties including: maintenance, mailing, supplies, errands, shopping
* Plan ahead and anticipate patient and provider needs
Required skills:
* Proven experience in a medical environment as a front office manager, receptionist, or an executive assistant
* Knowledge of office administrator responsibilities, systems and procedures
* Hands on experience with office machines (e.g. fax machines and printers)
* Excellent time management skills and ability to multi\-task and prioritize work
* Attention to detail and problem solving skills
* Excellent written and verbal communication skills
* Strong organizational and planning skills in a fast\-paced environment
* A creative mind with an ability to suggest improvements
* Familiarity with medical terminology a plus
* High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
* HIPAA compliance certification required, can be completed upon hiring
Our usual practice schedule is as follows and candidate's hours would vary within these hours:
Monday: office hours 9\-5
Tuesday: office hours 9\-8
Wednesday: 9\-5 can vary between office hours and remote
Thursday: office closed, remote only 9\-5
Friday: office hours 9\-5
Saturday: office hours 9\-2
You can expect to work at least approximately 20 hours per week within the above hours. We are very willing to work with the ideal candidate to find hours that best fit their schedule.
Job Types: Full\-time, Part\-time
Pay: $22\.00 per hour
Expected hours: 15 – 25 per week
