We are seeking a highly organized, detail\-oriented, and resourceful Family Office Administrative and Executive Assistant to support the principal of a private family office, while also assisting the broader business and associated staff as needed.
This is a dynamic, fast\-moving role for someone who takes initiative, is self\-motivated, communicates well, and works effectively with others. The right candidate will be comfortable managing a wide range of administrative and executive support responsibilities, maintaining confidentiality, and helping bring order and follow\-through to a busy professional environment.
This is primarily a business\-focused role and requires someone who is tech\-forward, eager to learn new systems, and comfortable working with modern software and AI tools.
Key Responsibilities
- Manage schedules, calendars, appointments, and executive correspondence
- Coordinate meetings, logistics, and day\-to\-day administrative support for the principal
- Support the broader business and associated staff as needed
- Organize and maintain digital files, records, and filing systems
- Oversee mail and package management
- Assist with office management, organization, and supply ordering
- Coordinate with the accounting department on payments, billing, and related administrative follow\-up
- Communicate professionally with outside partners, vendors, and associated contacts
- Handle sensitive and confidential information with discretion and sound judgment
- Assist with travel and trip management, including planning, reservations, and coordination
- Manage expense reporting and expense tracking
- Help improve office systems, workflows, and organizational structure over time
- 5\+ years of experience in an administrative assistant, executive assistant, or similar support role
- Bachelor’s degree preferred
- Experience supporting an executive, entrepreneur, or family office preferred, but not required
- Strong written and verbal communication skills
- Able to draft clear, polished emails and professional correspondence on behalf of the principal
- Confident communicating with vendors, partners, and staff
- Highly organized with strong attention to detail
- Resourceful, proactive, and able to work independently
- Comfortable shifting between priorities without losing follow\-through
- Strong sense of discretion, trust, and confidentiality
- Willingness to collaborate and work well with others in a team\-oriented environment
- Tech\-savvy and eager to adopt new tools, systems, and AI platforms

Work Environment
This is a full\-time position based in Lagrangeville, New York. The role is in person 4 days per week, with 1 remote day per week.
While standard office hours are 9:00 AM to 5:00 PM, this role requires someone who understands that executive support work must sometimes be completed outside of those hours when needed.
