Position Summary

The Patient Care Coordinator oversees implant services efforts and treatment coordination, including but not limited to those outlined below. This position is full\-time with working hours between 7:30a\-4:30p Monday through Thursday, and 730a\-1:30p Friday. Compensation is hourly, starting at $21\.00 to $24\.50, with individual compensation offers commensurate with experience and seniority. The position requires full\-time, in\-office attendance at 801 West Dr. Martin Luther King Jr. Boulevard, Suite 2, Tampa, Florida 33603, with the potential for remote work when the office is closed to patient clinic services.

Position Responsibilities

The primary responsibility of this position is treatment coordination. The overarching goal of this position is to ensure a busy, consistent, and smooth schedule for Drs. Pomar and Orta. This position will be responsible for the following:

  • Utilize all known insurance coverage details combined with recommended treatment as provided by the surgeon to generate a treatment plan estimate to present to patients, detailing any estimated treatment plan out\-of\-pocket patient obligation
  • Present treatment plans to patients, balancing both financial presentation and patient education to underscore the need for timely treatment
  • Assist patients requesting financial assistance with reviewing available financing options, such as CareCredit or Cherry
  • Manage reappointment efforts for patients with outstanding treatment plans who have not yet scheduled surgery and/or completed the full recommended course of treatment
  • Lead coordination between Dr. Pomar, dental laboratories, referring providers, any other healthcare provider, and/or insurance carriers to facilitate treatment, as needed, e.g. prior authorizations, pre\-determinations, medical clearances, case planning, lab fabrication, prosthetic delivery, etc.
  • Oversee Drs. Pomar and Orta’s clinical schedule to ensure proper appointment protocol has been followed and to ensure a smooth patient flow throughout the day
  • Manage referring provider communications for mutual patients throughout the consultation, treatment, and follow\-up process to ensure consistent and transparent coordination between providers
  • Support Administrative Assistant I and/or Office Manager in other administrative responsibilities as required by the schedule and/or team availability
  • Execute exceptional patient care in accordance with practice SOPs, state and/or federal regulations, and direction from the surgeon(s)
  • Assist in the development of marketing strategy and execution for patient education and referral management

    Qualifications

    The practice will expect that an applicant to the Patient Care Coordinator position has the following qualifications to ensure success:

  • Excellent oral and written communication
  • Extraordinary attention to detail
  • Knowledge of basic reporting and analytics to evaluate key performance indicators and trends
  • Comfortable in a clinical environment with exposure to surgical procedures
  • Experience with dental/medical insurance and/or treatment planning
  • Knowledge of dental implants and/or temporomandibular joint disorder (TMJ aka TMD)
  • 3\+ years of dental industry experience, required
  • 1\+ years of customer service experience, preferred

    The Office Manager will be responsible for reviewing all resumes and communicating with applicants. The interview process is two\-stage. The first interview will discuss the position and your qualifications. Joining the practice in 2025 is Dr. Daili Pomar, who will bring with her an expanded scope of service to include dental implant procedures, further broadening access to oral and maxillofacial surgery care in the region.

    In\-practice Network

    The Patient Care Coordinator will report directly to the Office Manager and managing surgeon(s). It may also be appropriate that the Chief Strategy Officer provides direction and upholds accountability in the absence of, or in addition to, the Office Manager.

    HR matters not resolved within the practice management hierarchy should be directed to the Director of Human Resources for Forge Specialty Partners. This position has no direct reports.
