Job Overview
We’re seeking a highly organized, proactive personal assistant to work closely with the owner of two growing service businesses (roofing and cleaning). In this dynamic role, you’ll handle day\-to\-day tasks that help streamline operations and growth. You’ll be by the owner’s side, helping with everything from client follow\-ups to scheduling, documentation, and thinking creatively to improve processes. This role is for someone detail\-oriented, with great problem\-solving skills, who wants to contribute to business growth.
Responsibilities
- Manage and maintain complex calendars, scheduling appointments, meetings, and events with precision using tools like Microsoft Outlook Calendar and Google Workspace.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Handle correspondence via phone, email, and other channels with professionalism and courtesy, adhering to proper phone etiquette.
- Prepare, proofread, and transcribe documents, reports, emails, and presentations to ensure accuracy and clarity.
- Organize files, manage data entry tasks, and maintain filing systems both digitally and physically for easy retrieval.
- Support project coordination efforts by tracking deadlines, preparing agendas, taking minutes, and following up on action items.
- Assist with bookkeeping tasks using QuickBooks or similar software to manage invoices, expenses, and financial records.
- Oversee office management duties such as supply procurement, maintaining office equipment, and supervising front desk operations.
- Utilize office software including Microsoft Office Suite (Word, Excel), Google Workspace applications, and DocuSign for document signing processes.
- Demonstrate excellent organizational skills by multitasking efficiently in a fast\-paced environment while maintaining attention to detail.
- Proven experience as a Personal Assistant or in an executive administrative support role with strong office management background.
- Exceptional organizational skills with the ability to prioritize tasks effectively in a busy setting.
- Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools.
- Strong typing skills combined with transcription capabilities for accurate documentation.
- Excellent communication skills demonstrating professional phone etiquette and customer service excellence.
- Familiarity with multi\-line phone systems and calendar management tools like Microsoft Outlook Calendar.
- Experience with bookkeeping software such as QuickBooks along with basic accounting knowledge including invoicing and expense tracking.
- Ability to proofread documents meticulously ensuring clarity and correctness before submission.
- Knowledge of project coordination processes including scheduling meetings, preparing agendas, and following up on deliverables.
