Duties

  • Draft, review, and negotiate contracts with vendors, clients, and internal stakeholders to ensure clarity and compliance with company policies.
  • Maintain comprehensive records of all contractual documents using tools such as Microsoft Office, Google Workspace, and data entry systems like QuickBooks.
  • Coordinate with various departments to gather necessary documentation, verify contract details, and facilitate approval processes efficiently.
  • Manage calendar deadlines for contract renewals, amendments, and compliance reviews to prevent lapses or delays.
  • Provide exceptional customer support by addressing inquiries related to contracts, billing, or service terms via multi\-line phone systems and front desk interactions.
  • Proofread and edit contractual language for accuracy, consistency, and professionalism before final approval.
  • Support office management tasks including filing, data entry, and maintaining organized records of all contractual correspondence.
  • Assist with bookkeeping activities related to vendor payments and invoice processing to ensure timely financial transactions.
  • Requirements

  • Proven experience in office management or administrative roles with a focus on contracting or clerical responsibilities.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), QuickBooks, and data entry systems.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
  • Bilingual abilities are highly preferred to support diverse communication needs within the organization.
  • Demonstrated customer service skills with professional phone etiquette and experience handling multi\-line phone systems.
  • Attention to detail in proofreading contracts, data entry, filing, and record\-keeping activities.
  • Experience with office equipment such as multi\-line phones, fax machines, and general office technology is advantageous.
  • Strong time management skills to meet deadlines for contract renewals and administrative tasks.
