Key Responsibilities
1\. Office Administration
- Manage day\-to\-day office operations and administrative tasks
- Maintain office supplies inventory and coordinate procurement
- Organize and maintain filing systems (physical and electronic)
- Schedule meetings, appointments, and conference calls
- Coordinate calendars for managers and team members
- Arrange travel and logistics when required
- Serve as the first point of contact for calls, emails, and visitors
- Draft, edit, and distribute correspondence, memos, and reports
- Ensure professional and timely communication across departments
- Maintain accurate records, reports, and documentation
- Support data entry and database management
- Ensure confidentiality and compliance with internal policies
- Prepare meeting agendas, materials, and presentations
- Take meeting minutes and track action items
- Coordinate internal events, trainings, and workshops
- Assist with invoice processing and expense tracking
- Support procurement and vendor coordination
- Provide administrative support for budgeting activities
- Associate’s or Bachelor’s degree in Business Administration or related field (preferred)
- 2–4 years of administrative or office support experience
- Experience in government or public sector environments is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with office management tools or ERP systems is a plus
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- High attention to detail and problem\-solving mindset
- Ability to handle confidential information with discretion
- Experience supporting executive\-level staff
- Familiarity with public transportation or government operations
- Basic knowledge of procurement and compliance processes
