Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and valued
  • Answer multi\-line phone systems promptly and professionally, directing calls efficiently
  • Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
  • Handle data entry, filing, and document proofreading to maintain accurate records
  • Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping with QuickBooks
  • Assist with clerical duties including typing correspondence, managing emails, and maintaining organized files
  • Provide excellent customer support by addressing inquiries and resolving issues with professionalism and courtesy
  • Requirements

  • Proven office management or administrative experience in a busy environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently
  • Exceptional phone etiquette skills for handling multi\-line phone systems confidently
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Experience with QuickBooks or bookkeeping is a plus
  • Previous experience as a medical or dental receptionist or personal assistant is advantageous
  • Demonstrated clerical skills including data entry, proofreading, filing, and calendar management
  • Strong time management skills with the ability to meet deadlines consistently
