Job Summary
A small highly custom home builder/general contractor are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to the owner/operator. The ideal candidate will be trustworthy, hardworking, dependable, detail\-oriented, and motivated to do a good job. This role involves managing calendars, assisting customers with selections, providing appointment reminders to staff, coordinating projects, handling correspondence, writing checks and data entry in a casual but professional office.
Responsibilities
- Manage and coordinate executive calendars using Microsoft Outlook Calendar.
- Receiving invoices and verifying payments, writing checks, entering payments into Quickbooks.
- Organize and facilitate event planning activities for company functions, meetings, and client engagements.
- Receive phone calls from customers. Transfer as necessary to correct department or obtain the answer for customers and respond back.
- Log information into Quickbooks and maintain the paper back up system as shown.
- Control the well being of the office.
- Utilize QuickBooks for basic bookkeeping tasks including invoicing, expense tracking, and financial record keeping. This skill can be learned on the job.
- Perform clerical duties such as typing reports, data entry, proofreading documents, and managing correspondence efficiently.
- Experience as an executive administrative support or office management role with strong organizational skills a bonus but not required.
- Proficiency in Microsoft Office Suite (Word, Excel), Microsoft Outlook Calendar a bonus but not required.
- Experience with QuickBooks for bookkeeping tasks; knowledge of data entry and filing systems a bonus but not required.
- People skills a bonus.
- Typing skills a bonus.
- Ability to handle project coordination tasks effectively while managing multiple priorities simultaneously.
- Professionalism in customer service interactions both in person and over the phone at all times.
- Office experience including front desk responsibilities is preferred; personal assistant experience is a plus.
- Willingness to work hard and learn in a customer forward environment.
