Job Summary

We are seeking an energetic and highly organized Receptionist/Administrative Assistant to join our dynamic team. In this role, you will serve as the first point of contact for visitors and callers, manage front desk operations, handle filing and data entry tasks, and support office management functions. Your positive attitude, excellent communication skills, and proficiency with office technology will ensure smooth daily operations and a welcoming environment for all clients and staff. Responsibilities

  • Greet visitors warmly, answer multi\-line phone systems, and direct calls efficiently using proper phone etiquette
  • Manage front desk duties including check\-in procedures, scheduling appointments, and maintaining visitor logs
  • Perform clerical tasks such as filing, data entry, proofreading documents, and organizing records to ensure easy retrieval
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation, email correspondence, and calendar management
  • Support office management by maintaining supplies inventory, coordinating mail distribution, and assisting with basic bookkeeping using QuickBooks or similar software
  • Handle confidential information with discretion while ensuring accuracy in data entry and record keeping
  • Provide excellent customer support by addressing inquiries promptly and professionally in person or via phone or email
  • Requirements

  • Proven office experience with strong clerical skills and familiarity with front desk operations
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi\-line phone systems and excellent phone etiquette
  • Bilingual abilities are highly desirable to serve diverse clients effectively
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment
  • Excellent typing speed and attention to detail for proofreading and document accuracy
  • Previous experience as a medical or dental receptionist or personal assistant is a plus but not required
  • Knowledge of office management practices including filing systems, calendar management, and basic bookkeeping (QuickBooks preferred)
  • Ability to work independently as well as part of a team with positive attitude and professionalism
