Job Summary
We are seeking a dedicated and highly organized Administrative Assistant to support the operations of our Memory Care community. The ideal candidate will possess strong office management skills, excellent communication abilities, STAFFING AND SCHEDULING, and a compassionate approach to supporting our residents and staff. As an Administrative Assistant, you will serve as the first point of contact for staffing and scheduling, manage administrative tasks efficiently, and ensure the smooth functioning of daily office activities. Your role is vital in fostering a welcoming environment while maintaining high standards of professionalism and confidentiality.
Responsibilities
- Greet visitors, residents, and staff with professionalism and warmth at the front desk, providing exceptional customer service.
- Manage multi\-line phone systems, screen calls, and direct inquiries appropriately to ensure effective communication.
- Maintain accurate records through data entry, filing, and document proofreading to support administrative operations.
- Utilize office management software such as Microsoft Office and Google Workspace to prepare reports, correspondence, and schedules.
- Coordinate calendar management for staff and leadership, including scheduling appointments and meetings with attention to detail.
- Support office supply inventory management and organize files systematically for easy retrieval.
- Assist with general clerical duties such as copying, scanning, and mailing correspondence while adhering to confidentiality protocols.
- Proficiency in office management software including Microsoft Office, Teams, Outlook, Word, Excel
- Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
- Excellent phone etiquette with experience managing multi\-line phone systems confidently.
- Demonstrated clerical experience with data entry, filing, proofreading, and document management.
- Exceptional customer service skills with a compassionate approach toward residents and visitors.
- Strong time management skills with the ability to handle multiple responsibilities efficiently.
